    Job Title: Assistant Director of Purchasing Wage/Hour Status: Exempt

    Department/School: Purchasing Pay Grade: AD 5

    Reports to: Director of Purchasing HR Date Approved: August 2018


    Assists with the coordination, management and evaluation of on-going program for efficient, cost effective procurement of supplies, equipment and services necessary to support all operations and functions of the district.

    • Model core organizational beliefs and values; communicate openly and effectively within and across teams; and manage resources to effectively support District goals.

    • Direct the bid development process; work cooperatively with district personnel to determine appropriate specifications for items to be purchased; prepare bidding documents, including notice and instruction to bidders, specifications, and form of proposal.

    • Supervise bid scheduling

    • Manage daily department workload.

    • Assist in Training Staff on Federal, State and Local Policies and Procedures.

    • Coordinate proposals for bond and construction projects.

    • Coordinate Furniture, Fixture and Equipment (FF&E) purchases.

    • Maintain physical and computerized files for department.

    • Review vendor and bidder lists for compliance with Federal, Local and State Policies.

    • Obtain quotes and coordinate delivery for District furniture and equipment purchases.

    • Provide assistance and support to department employees.

    • Assist in Board agenda preparation and recommendation documents.

    • Administer systematic records of purchasing requests.
    • Analyze price quotations and make recommendations regarding awarding of contracts.
    • Assist in the development of procedures for internal and external control of purchasing processes.

    • Assist in the development of annual operating budget recommendations for assigned units and functions.

    • Communicate with campuses and departments regarding procurement policies, competitive quoting process, and contract review and compliance.

    • Utilize effective communication skills; ensure that all interactions are supportive, courteous, and respectful.
    • Participate in professional development activities that are aligned with district goals and assigned area of responsibility.
    • Comply with all policies, operating procedures, legal requirements, and verbal and written directives.

    • Comply with the Employee Standards of Conduct.

    • Perform other related duties as assigned.


    • Supervise and evaluate the performance of assigned staff.


    • Knowledge of competitive bidding statutes, laws, regulations, and purchasing procedures

    • Ability to write clear bid specifications and analyze vendor bids

    • Knowledge of auditing and accounting principles

    • Ability to work with numbers in an accurate and rapid manner

    • Strong organizational, communication, and interpersonal skills

    • Proficient keyboarding and file maintenance skills

    • Ability to use personal computer and software to develop spreadsheets, databases, and do word processing



    • Bachelor’s Degree


    • Two (2) years successful related experience

    • Public school district experience (preferred)

    • TASBO certification (preferred)


    • Maintain emotional control under stress

    • Occasional district-wide travel

    • Occasional prolonged and irregular hours
    • Repetitive hand motions
    • Prolonged use of computer

    • Possible lifting of up to 20 lbs.
